To manage all aspects of foreign worker administration, ensure compliance with Malaysian labor laws and international audit standards, and oversee hostel operations related to foreign workers.
Responsibilities
1) Foreign Worker Administration
Coordinate KDN quota applications, work permit issuance, renewal, and cancellation
Manage FOMEMA medical screenings and follow-up actions
Handle arrival, onboarding, and exit procedures for foreign workers
Liaise with Immigration Department, JTK, and manpower agencies
2) Compliance & Documentation
Ensure full compliance with Malaysian labour laws and statutory requirements
Maintain accurate records of foreign workers’ attendance, overtime, and leave • Prepare documentation for audits including ISO, SMETA, BSCI, and FSC
Monitor contract workers and verify supplier compliance with labour standards
3) Training & Evaluation
Organize training programs for general workers (e.g., safety, hygiene, company policies)
Evaluate training effectiveness and maintain records for audit purposes
3) Hostel Management
Allocate hostel rooms and maintain updated occupancy records
Conduct regular inspections to ensure cleanliness, safety, and compliance
Enforce hostel rules and issue disciplinary actions when necessary
Coordinate maintenance and liaise with vendors for repairs and supplies
Prepare hostel-related documentation for audits (living conditions, safety standards)
4) Disciplinary & Welfare
Address grievances and escalate misconduct cases to HR Manager
5) Audit Support
Assist in preparing and presenting documentation for ISO, SMETA, BSCI, and FSC audits
Ensure all foreign worker-related policies and practices meet audit standards
Maintain confidentiality and integrity of all HR records
Minimum a Diploma/Degree in Business Studies/Management/HRM
At least 3 years of working experience in the related field, preferably in the manufacturing industry
Knowledge of Malaysian employment laws and practices
Proficient in Microsoft Office applications
Independent and possess excellent interpersonal and communication skills
Proactive, dependable and able to work independently
Possess own transport and willing to travel
